Radford College: Compliance for Schools

Discover how Radford College enhanced its data governance and compliance by leveraging Castlepoint’s explainable artificial intelligence (XAI) platform. By implementing AI-driven records management, the College gained comprehensive oversight of student and staff information, ensuring secure, compliant, and efficient data handling across thousands of systems.

The Challenge

Radford College is an independent school in Canberra, Australia, founded in 1984, with over 2,000 students. The College’s motto is Truth, Compassion, Wisdom. Radford’s Strategic Plan 2021-2025 made strengthening contemporary and sustainable operations a priority, including embedding compliance in all operations, and strengthening existing best-practice governance and systems.

The Solution

Radford College selected Castlepoint to enhance its risk assessment and mitigation strategies, sustain its compliance, and support continuous review of security to help to protect the personal information of its students and staff. Castlepoint was deployed on premises in the secure Radford network, with interfaces established with the key unstructured data systems initially. The ACT Government Retention and Disposal Schedule for Non-Government Schools was deployed across the environment, to identify data that has reached its minimum retention period under law, and can be compliantly disposed of, reducing the amount of personal and sensitive information held on the network.

"Radford is a trusted institution and is known for its commitment to its students. Protecting and preserving their records is a key part of this mission”. - Rachael Greaves, Castlepoint CEO

The Outcome

Radford College successfully implemented Castlepoint’s AI-powered information management system, transforming its approach to compliance, risk mitigation, and data governance. Within a secure on-premises deployment, the College gained full oversight of its 12,000 managed records across 6,650 systems, ensuring the security and proper management of student and staff information.

With automated data classification and records retention aligned with the ACT Government Retention and Disposal Schedule for Non-Government Schools, Radford College can now confidently identify and dispose of obsolete and sensitive data while maintaining compliance with privacy laws. The adoption of Explainable AI provides the College with granular control over its data, reducing risks, saving costs on storage, and streamlining information management.

"We previously relied on archiving through spreadsheets which would live in off-site databases – once they were shipped off, they’d never be seen again. Bringing Castlepoint into the fold gave us a systemic, policy and process-based approach to information management. This reduces risk, saves time and money as we can reduce the cost of storage space, and makes us confident we are compliant with records management principles and our own policies, and meet obligations under the ACT Education Act.”
